At Helpiz, LLC, doing business as Fast Response AI, together with our affiliates (“Helpiz,” “Fast Response AI,” “we,” “us,” or “our”), we respect your privacy. This Privacy Policy explains how we collect, use, disclose, and protect Personal Information in connection with our omnichannel AI + human response platform and our website (collectively, the “Services”). Fast Response AI is a business-to-business service based in the United States and intended for use by businesses located in the United States.

This Policy is incorporated by reference into our Terms of Service. Capitalized terms not defined here have the meaning given in the Terms of Service.

1. OUR ROLE: CONTROLLER VS. SERVICE PROVIDER

Because we provide a service to business clients, our role depends on the data at issue:

  • As a controller / business: For information we collect about our own clients, prospects, account administrators, and website visitors — for example to create accounts, bill for the Services, provide support, secure our systems, and market our Services — we determine how and why that information is used, and this Policy governs that use.
  • As a service provider / processor: When our business clients use the Services to handle their inbound and outbound communications, we process Personal Information about the clients’ own customers and contacts (for example callers and message recipients), including call recordings, transcripts, and message content, solely on the client’s behalf and instructions. For that data, the business client is responsible for providing privacy notices and obtaining any required consents. If you are an end customer of one of our clients and have questions about how your data is handled, please contact that business directly; we will refer requests we receive to the relevant client.

2. PERSONAL INFORMATION WE COLLECT

2.1 Information You Provide

Account and contact details (name, business name, email address, phone number, role), support inquiries, and information you choose to provide. Payment is processed by our payment processor (Stripe); we do not store full payment card numbers.

2.2 Information Processed Through the Services

In providing the Services, we collect and process, on behalf of our clients: telephone numbers of callers and message recipients; call audio recordings and voicemails; call and message transcripts; the content and metadata of calls, text/SMS messages, and chats; and customer records stored in the CRM. This may include the contents of communications, which can be sensitive.

2.3 Information Collected Automatically

When you use our website or app, we and our service providers automatically collect device, log, and usage information (such as IP address, browser type, pages viewed, and timestamps) using cookies and similar technologies, including third-party web analytics and advertising/retargeting technologies. See Section 4.

3. HOW WE USE PERSONAL INFORMATION

We use Personal Information to: provide, operate, and maintain the Services; process billing and payments; provide customer support; communicate with you about your account and the Services; secure our systems and prevent fraud and abuse; analyze and improve the Services; market our own Services (subject to your choices); and comply with legal obligations.

3.1 AI and Model Improvement

We may use content and data processed through the Services in de-identified and aggregated form to train, tune, and improve our AI models, as described in our Terms of Service. Before using data for these purposes, we remove information that could reasonably identify an individual or a specific business. We do not use this data to target advertising or to build products that replicate a specific client’s operations. Eligible business clients may request to opt out of training use by contacting support@fastresponse.ai.

3.2 Google User Data

Our use of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements. Google Workspace APIs are used only for sign-up/sign-in and to manage your calendar using pre-trained AI models; data obtained through Google Workspace APIs is not used to develop, improve, or train generalized AI and/or ML models.

4. COOKIES, ANALYTICS, AND ADVERTISING

We use cookies and similar technologies for essential site functionality, web analytics (to understand site usage), and advertising/retargeting (to measure and deliver ads for our Services across other sites and platforms). Some of this activity may constitute “sharing” of Personal Information for cross-context behavioral advertising under California law. You can opt out of such sharing as described in Section 8, and we honor recognized opt-out preference signals such as Global Privacy Control (GPC). You can also control cookies through your browser settings.

5. HOW WE DISCLOSE PERSONAL INFORMATION

  • Service Providers: We share Personal Information with vendors that perform services for us, such as telephony and messaging carriers and infrastructure (for example, Twilio), payment processing (Stripe), cloud hosting, AI/model providers, analytics, and advertising partners, in each case as needed to operate or improve the Services.
  • Our Business Clients: Data processed through the Services is made available to the client on whose behalf it was collected.
  • Business Transfers: Your information may be transferred as part of a merger, acquisition, financing, or sale of assets.
  • Legal and Safety: We disclose information when required by law or to protect the rights, property, or safety of Fast Response AI, our clients, or others.

We do not sell Personal Information for money. We do not sell or share mobile phone numbers or messaging opt-in data for third-party marketing. As noted in Section 4, our use of advertising/retargeting cookies on our website may constitute “sharing” under California law, for which we provide an opt-out.

6. SMS AND MOBILE MESSAGING

No mobile information (including phone numbers and messaging opt-in or consent data) will be shared with third parties or affiliates for marketing or promotional purposes. Information sharing with subcontractors in support services, such as customer service, is permitted. All other use-case categories exclude text-messaging originator opt-in data and consent; this information will not be shared with any third parties.

Where you receive messages from a business using our Services, message frequency varies, and message and data rates may apply. You can reply STOP to unsubscribe or HELP for help. Phone numbers are used solely to provide and support the Services—for example, to place and receive calls and to send service-related texts—and are not sold or shared for marketing.

7. DATA RETENTION

We retain Personal Information for as long as necessary to provide the Services and to meet business and legal needs. Consistent with our Terms of Service: call recordings may be retained for up to one (1) year from the date of recording; account data may be retained for thirty (30) days following account cancellation and then permanently deleted; and provisioned phone numbers may be retained for up to forty-five (45) days after termination or delinquency before release and deletion of associated data. Specific retention periods may vary based on client configuration and legal requirements.

8. YOUR PRIVACY RIGHTS

Depending on your state of residence, you may have the right to: know and access the Personal Information we hold about you; request deletion; request correction; opt out of the sale or sharing of Personal Information; and limit the use and disclosure of sensitive Personal Information. We will not discriminate against you for exercising these rights.

Residents of California (CCPA/CPRA) and of states with comparable laws (including Virginia, Colorado, Connecticut, and Utah) may exercise applicable rights. Because the content of communications may be considered sensitive Personal Information, California residents may request that we limit its use to permitted purposes.

To exercise your rights, email support@fastresponse.ai. We may need to verify your identity, and you may use an authorized agent. To opt out of advertising-related “sharing,” use the opt-out mechanism on our website or enable Global Privacy Control (GPC) in your browser.

If your request concerns data we process on behalf of a business client (for example, a recording of a call you made to a business), we act as a service provider; please contact that business, and we will assist them in responding.

9. DATA SECURITY

We take commercially reasonable administrative, technical, and physical measures designed to protect Personal Information. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.

10. CHILDREN’S PRIVACY

The Services are intended for businesses and are not directed to children under 13, and we do not knowingly collect Personal Information from children under 13. If you believe a child has provided us Personal Information, please contact us so we can delete it.

11. INTERNATIONAL USERS

The Services are intended for use in the United States, and your information is processed and stored in the United States, which may have data-protection laws different from those of your jurisdiction. If you access the Services from outside the United States, you do so on your own initiative.

12. CHANGES TO THIS POLICY

We may modify this Policy from time to time. Changes will be posted on our website with a revised “Last Updated” date and, where required, communicated to you.

13. CONSENT TO COMMUNICATION

If you are an account holder or you provide your phone number and other Personal Information to us directly, you agree to receive text messages, calls, or emails related to your account and our Services. Message and data rates may apply, and message frequency may vary. You may opt out of non-essential communications at any time as described in those communications.
